Part-time Secretary

Employment:  Part-time, Self-employed
Hours:             Equivalent to 2 days per month                         
Rate:               £15-£20 per hour gross, depending on experience, plus travelling expenses
Term:              12 months
Location:        Home-based apart from attendance at monthly board meetings at the Development Company office at Garve
Closing date: 2nd March 2018            

The Garve and District Development Company is looking for a part time secretary to manage the company office. 

The successful candidate will have previous professional administrative or commercial work experience in office management. They will be expected to work on their own initiative in the absence of close management with an ability to organise and manage a company office.

This is a pro rata, part-time post. The term is for 12 months for but there may be potential for the post to extend beyond this.

Background

The Garve and District Development Company was set up by the Garve and District Community in September 2017 with financial assistance from the Lochluichart Community Trust (LCT). It has been established to meet community needs within the community boundary.

Its vision is of a sustainable community where individuals lead the fulfilled lives they seek.

Its mission is to improve the social, cultural, economic and environmental well-being of individuals and businesses by identifying and meeting community needs in these areas.

It will create enterprise and projects, care for the environment, and promote the use of local resources, working with and for the local community, involving people, groups and businesses.


The Role 
The secretary for the Garve and District Development Company provides administrative support and guidance to the company directors and the Community engagement and development officer. The successful candidate will have experience of carrying out tasks associated with the smooth running of a company office. 


Responsibilities

Organisational
Organising company meetings including producing and distributing agendas with supporting documents.
Implementing and maintaining procedures/office administrative systems
Managing membership applications and records
Maintain stationery and equipment supplies

Communication
Handling company correspondence
Typing company draft letters and other documents for distribution by email and post

Regulation
Maintain GDDC records and returns with Companies House, OSCR and HMRC
Ensure that bank signatories are maintained with the bank
Ensuring policies are kept current, are approved, and that company members are aware of their implications
Providing legal/financial advice during and outside of meetings

Reporting
Typing and distributing minutes of company meetings
Typing and collating reports

Skills
Candidates should demonstrate diplomacy, meticulous attention to detail, good numerical, organisational and time management skills.
An excellent telephone manner
Reliability and discretion when dealing with confidential matters
Excellent computing, secretarial, interpersonal, team working and written/verbal communication skills.
Web site management including Facebook links and use of MailChimp for email
Hold a valid driving license and have use of a car.

Experience
Previous professional administrative or commercial work experience in office management.

A good, demonstrable standard of formal education
An administration or secretarial related diploma or qualification
